How We Work?

Our Working Approach

When we begin working together, the focus is on understanding your practice in detail. The way you structure your work, the type of clients you handle, the services you offer, and how you prefer things to be delivered.

This helps us build a clear picture of your requirements, your timelines, and the level of detail expected in the work.

Based on this, we set up a structured way of working, aligning with your systems, templates, and processes so that everything fits into your existing setup.

DAY 1 – DAY 2

Scoping call

No obligation at this stage

An initial discussion to understand how exactly what you need and how you operate. We will accordingly suggest you how we can deliver it before we finalise anything.

  • 30-minute call to understand how your practice is structured

  • We review your client list, services required, volumes, and current turnaround expectations

  • We confirm our capacity, timelines, and any constraints upfront including things we cannot take on.

DAY 3 – DAY 5

Proposal & agreement

Proposal within 48 hours of scoping call

We put everything into a written proposal with fixed scope, agreed deliverables, turnaround timelines, and fees so that expectations are clear from the start.

  • Scope of work document covering every service agreed on the scoping call

  • Turnaround times stated per service type and client complexity band

  • Fee structure confirmed in writing — monthly retainer, per-job, or hybrid as agreed

  • Non-disclosure agreement and data processing agreement signed before any client data is shared

  • Proposal returned within 48 hours of the scoping call

Pricing Structure:
We typically work on a fixed monthly fee, based on the agreed scope and the size of your client portfolio, allowing you to plan costs with clarity as the engagement progresses.

DAY 5 – DAY 10

Setup & handover

No disruption to your existing workflow
We take the time to understand your systems, standards, and preferences, so the work aligns with how you already operate.

  • Secure access established to your practice management system, or agreed file transfer method put in place

  • Working paper templates, software preferences, and formatting standards documented and confirmed with you

  • Dedicated point of contact assigned on our side — this person remains consistent throughout the engagement

  • First client files selected jointly — we begin with lower-complexity jobs to validate the full workflow before scaling

  • No software change required on your side — we adapt to your existing systems

WEEK 2 – WEEK 4

Controlled start

First work delivered back to your team
Work begins with a smaller set of files, giving you the chance to review the output and share feedback before we increase volume.
Live work begins on a limited batch.

  • First batch of files processed and returned for your review within the agreed turnaround

  • Structured feedback loop — you mark up any corrections, we document the preference and adjust going forward

  • Query handling process tested in practice — you see exactly how we flag exceptions before acting on them

  • Turnaround times and output quality reviewed against agreed benchmarks before volume increases

  • No increase in volume until you have confirmed you are satisfied with the controlled start output

MONTH 2 ONWARDS

Live working relationship

Ongoing scales with your practice
Once everything is in place, the work continues on a steady basis, with ongoing coordination and delivery aligned to your timelines.

  • Full agreed volume in production — regular job flow established to your deadlines calendar

  • Monthly check-in call to review output quality, turnaround performance, and any upcoming changes

  • Scope adjustments made without a restart — additional services or client files added as your practice grows

  • Your practice retains full review control and final sign-off at every stage of every job

  • We never communicate with your end clients directly — all client-facing work remains yours
